Registration Policies

  • Refund Policy: Refund requests must be made in writing to ICEC Headquarters on or prior to 22 September 2014. A 75% refund of the Conference and workshop(s) registration fees will be given for cancellations received on or prior to 22 September 2014. No refunds will be made after 22 September 2014. No refunds will be made to individuals who attend a portion of the meeting. No refunds will be made for cancellations due to inclement weather or travel delays. The conference organizers reserve the right to substitute faculty, or cancel or reschedule sessions (because of low enrollment or other circumstances). If the organizers must cancel the Conference in its entirety, ICEC may refund the appropriate registration fees to all Conference registrants; no refunds will be made for travel expenses related to the Conference. These refund policies do not apply to the payment of membership dues; please refer to the membership dues refund policies of the organization to which you paid dues for information about potential dues refunds.

    Refunds in case of Emergency: If you are unable to attend the workshop(s) or the Conference based on serious illness or death (of self or a family member), a partial refund (amount paid minus a $55 processing charge) may be granted. Emergency refund requests must be made in writing to ICEC Headquarters at the following address. All requests are reviewed to ensure compliance with policy.

    Substitution Policy: If you are unable to attend workshops or the Conference, you are welcome to send a colleague in your place. There is no fee to make this change up to 22 September 2014. Substitutions after 22 September 2014 will incur a $55.00 processing fee.

    Returned Check Policy: Remittance must be made in U.S. Dollars  to the American Association for Cancer Education (AACE). A $25.00 surcharge may be assessed to cover any collection fees.

    Important Payment Note: The registration form must be accompanied by your credit card information or check in full payment of all applicable fees. All non-U.S. registrants will be charged the U.S. Dollar equivalent at the time the charge is processed unless otherwise indicated. To qualify for early registration rates, complete registration including payment must be submitted online, faxed or postmarked no later than 18 August 2014.

    Exhibitors: Exhibitors are subject to the same refund and substitution policies above. However, exhibitors do not quality for refunds in case of emergency with the belief that an exhibiting organization can send another representative if the original representative is unable to attend.

    Media Attendance: The Conference organizers may issue press passes to representatives of news media outlets. To request a press pass, contact ICEC Headquarters at the following address.
